PlacementPilot AI is a SaaS platform designed for educational institutions and training centers to manage their placement preparation process. It helps track candidates, conduct interviews, record assessments, and generate placement reports.

Is my data secure?

Yes. We use industry-standard security practices:

• All data encrypted in transit (TLS 1.3)
• Database encryption at rest
• Multi-tenant isolation (your data is separate from other organizations)
• Regular security audits

What browsers are supported?

• Chrome (recommended)
• Firefox
• Safari
• Edge

For video interviews, Chrome provides the best experience.

Account & Login

I forgot my password

1. Go to the login page
2. Click "Forgot password?"
3. Enter your email address
4. Check your email for reset instructions
5. Follow the link to set a new password

I didn't receive my invitation email

1. Check your spam/junk folder
2. Add [email protected] to your contacts
3. Ask your admin to resend the invitation
4. Contact support if still not received

Can I use Google login?

Yes! Click "Continue with Google" on the login page. Your account will be linked to your Google account for easy access.

Candidates

How do I add candidates in bulk?

1. Go to Candidates → Import
2. Download the CSV/Excel template
3. Fill in candidate data
4. Upload the file
5. Review and confirm

What file formats are supported for resumes?

• PDF (recommended)
• DOC/DOCX (Microsoft Word)

Maximum file size: 10MB

Can candidates access the platform?

Yes! Candidates can log in to their own portal to:

• View their dashboard with upcoming interviews
• Access their profile and resume
• See assessment feedback and scores
• Download their placement reports

Candidates are activated by staff from the Users page. Once activated, they receive an email to set their password and can log in at the same URL.

How do I mark a candidate as placed?

1. Open the candidate's profile
2. Click Edit
3. Change Status to "Placed"
4. Click Save

Interviews

How do video interviews work?

PlacementPilot AI uses Daily.co for video interviews:

1. Schedule an interview
2. Staff receive a link to join
3. Candidate receives an invitation email
4. Both join at scheduled time
5. Video call happens in-browser

No software installation needed.

What if my video/audio isn't working?

1. Check browser permissions for camera/microphone
2. Close other apps using camera
3. Try a different browser
4. Refresh the page
5. Check your internet connection

How many people can join an interview?

Up to 4 participants (1 candidate + 3 staff).

What scoring scale is used?

All assessments use a 1-10 scale:

Can I edit an assessment after submitting?

Yes, assessments can be edited anytime. Click on the assessment and select Edit.

What's included in a report?

• Candidate profile and contact info

How does the AI analysis work?

Our AI analyzes assessment scores, notes, interview outcomes, and resume content to generate insights highlighting strengths, areas for improvement, and placement recommendations.

Billing & Plans

What plans are available?

Contact sales for Enterprise pricing.

How does billing work?

• Plans are billed monthly
• Payment via Razorpay (card, UPI, net banking)
• Invoices generated automatically
• Cancel anytime

What happens if I exceed my limits?

You'll see a warning when approaching limits. If exceeded, additional candidates cannot be added, interviews cannot be scheduled, and reports cannot be generated. Upgrade your plan to continue.

Is GST included in pricing?

GST (18%) is additional for Indian customers. Final invoice includes GST breakdown.

Data & Privacy

Can I export my data?

Yes. Go to Settings → Privacy → Export My Data.

How do I delete my account?

1. Go to Settings → Privacy
2. Click Delete Account
3. Confirm deletion

This action is permanent. Organization admins should transfer ownership first.

Where is data stored?

• Primary: AWS (Mumbai region)
• Database: Supabase (PostgreSQL)
• Video: Daily.co infrastructure

Troubleshooting

The page isn't loading

1. Check your internet connection
2. Clear browser cache (Ctrl+Shift+R / Cmd+Shift+R)
3. Try incognito/private mode
4. Try a different browser
5. Check status.mindweave.tech for outages

I'm seeing an error message

1. Note the error message
2. Try refreshing the page
3. Log out and log back in
4. If persists, contact support with screenshot and details
