Staff Guide

This guide is for staff members who manage candidates, conduct interviews, create assessments, and generate reports.

Managing Candidates

Viewing Candidates

  1. Click Candidates in the sidebar
  2. See the list of all candidates in your organization
  3. Use filters: Status, Department, Batch, or search by name/email

Adding a New Candidate

  1. Go to Candidates
  2. Click Add Candidate
  3. Fill in name (required), email (required), phone, department, batch, status
  4. Click Create

Editing Candidate Details

  1. Click on a candidate row to view their profile
  2. Click Edit in the top right
  3. Update any fields
  4. Click Save Changes

Uploading Resumes

  1. Open a candidate's profile
  2. Click Upload Resume or drag and drop
  3. Supported formats: PDF, DOC, DOCX (max 10MB)

Candidate Statuses

Scheduling Interviews

Creating an Interview

  1. Go to Interviews
  2. Click Schedule Interview
  3. Select candidate, date & time, duration, and assign staff
  4. Add optional notes
  5. Click Schedule

The candidate will receive an email with interview details and a link to join.

Interview Types

  • Video Interview: Real-time video call using Daily.co
  • Assessment Interview: Combined with live assessment scoring

Joining an Interview

  1. Open the interview details
  2. Click Join Interview when it's time
  3. Allow camera and microphone access
  4. The video room will open

Interview Status Flow

Scheduled → Started → Completed ↓ Cancelled

Creating Assessments

What are Assessments?

Assessments are structured evaluations with:

  • Category (Communication, Technical, etc.)
  • Score (1-10)
  • Notes (detailed feedback)

Adding an Assessment

  1. Go to Assessments
  2. Click New Assessment
  3. Select the candidate
  4. Choose assessment category
  5. Enter score (1-10)
  6. Add detailed notes
  7. Click Submit

Generating Reports

Creating a Report

  1. Go to Reports
  2. Click Generate Report
  3. Select candidates to include
  4. Choose report type: Individual or Batch
  5. Click Generate

Report Contents

  • Candidate Profile: Basic information
  • Assessment Summary: Scores across categories
  • Interview History: Past interviews
  • AI Summary: AI-generated analysis
  • Readiness Score: Overall placement readiness

Viewing and Downloading

  1. Go to Reports
  2. Click on any report to view inline
  3. Click Download for PDF

Tips for Effective Assessment

Scoring Guidelines

Writing Good Notes

  1. Be specific: Cite examples from the interaction
  2. Be constructive: Include areas for improvement
  3. Be balanced: Note both strengths and weaknesses
  4. Be actionable: Suggest development paths

Good example:

"Strong communication skills demonstrated when explaining technical concepts. Could improve by using more concrete examples. Recommended focus: Case study practice."

Avoid:

"Good candidate."

Workflow Best Practices

Recommended Process

  1. Before Interview
    • Review candidate profile
    • Check resume
    • Note any previous assessments
  2. During Interview
    • Take notes on key observations
    • Score in real-time if possible
  3. After Interview
    • Create assessments within 24 hours
    • Be thorough while memory is fresh
  4. Reporting
    • Generate reports for candidates with complete assessments
    • Share with admins for placement decisions

Troubleshooting

Video Interview Issues

Can't join interview:

  1. Check your internet connection
  2. Allow camera/microphone permissions
  3. Try Chrome browser
  4. Clear browser cache

Poor video quality:

  1. Close other bandwidth-heavy applications
  2. Use wired connection if possible
  3. Reduce video quality in settings

Assessment Not Saving

  1. Check your internet connection
  2. Ensure all required fields are filled
  3. Try refreshing the page
  4. Contact admin if issue persists
